This notice explains how Wilmer House uses the personal information of guests, people who enquire, and visitors to this website.
Who is responsible
Wilmer House is the data controller. Address: 37 High Street, Eastleigh, SO50 5LG. For anything about your information, email wilmerguesthouse@gmail.com.
What we collect
- Your name, email address and phone number when you book, enquire or create an account.
- Booking details: dates, room, number of guests, arrival time, special requests and what you have paid.
- For some stays: your address, nationality and passport or identity card number, which UK law requires us to record for guests from outside the UK.
- Reviews you choose to write after a stay.
- Card payments are handled by Square. We receive confirmation of payment, never your full card number.
Why we use it
- To take and manage your booking, take payment and send you booking emails (to perform our contract with you).
- To keep accounting and guest records the law requires (legal obligation).
- To prevent double bookings with the booking sites we list on, keep the house safe and answer complaints (our legitimate interests).
We do not send marketing emails and we do not sell your information.
Who we share it with
- Square (card payments and refunds).
- Resend (sending booking emails).
- Supabase and Vercel (secure hosting of our booking system and website).
- Booking.com and Airbnb receive only the dates a room is taken, never your name or contact details.
- Authorities, when the law requires it.
Some of these providers may store information outside the UK. We use providers that protect it to the standard UK data protection law requires.
How long we keep it
- Booking and payment records: six years after your stay, for tax and accounting.
- Your website account: until you ask us to delete it.
- On request we erase your personal details from our guest records, keeping only the anonymous booking and payment entries the law requires.
Your rights
You can ask for a copy of your information, ask us to correct or delete it, or object to how we use it. Email us and we will reply within one month. If you are unhappy with our answer you can complain to the Information Commissioner's Office (ico.org.uk).
Cookies
We use only the cookies needed for the site to work: keeping you signed in, and remembering the page you were on. We do not use advertising or analytics cookies, so there is nothing to opt in to.
